Okay are folks seeing those now, thank you sure, no problem, so there's a link to a search in our catalog that'll bring up a whole bunch of bibliographic records for items in our archives at our research center. Our research centers a little strange in that since we're a museum collection.

A

The archives and museum objects are under the aegis of the museum program and then I take care of the library collections and what we're doing is putting a bibliographic record in our library catalog, with links to the online finding aids online resources for those archival items, so that first link is a search that will just bring up a whole bunch of Records. The second link is for a really large archival collection that we have from the American president lines, which is sort of typical.

What we think of as the quintessential archival collection feet, some feet and feet and feet and feet meters and meters and meters of boxes containing many square records, photographs film, that all kinds of things, and then we have some digitized archival items online very few. But then the third link is a link to a record for one of our digitized films and our archives, and then the last link, I've shared, was something I just happened to come across the OCLC cataloguing.

Community virtual meeting recently had a presentation and they put up a free video of the whole meeting on YouTube and Kelly McGrath at the University of Oregon did a presentation on using mark edit at their library to convert archival records. So she talks about how they had very minimal archival. Finding aid records and put those into mark edit and converted them into mark all sorts of things, and that recording is on YouTube for free and I found. It very interesting and I thought folks might find that interesting too.

Welcome so has anybody brought any particular questions or issues or things of interest relating to records for archives and Koha.

Well, I could just do some screen sharing and point out some things that we have the talk a little bit about some things. We've found we go ahead here.

A

All right can folks see my screen great, so one thing that I find about archives and archival records and having bibliographic records in the catalog and getting archival finding aids online is a lot of times. People ask why: why do this, and something I like to point out to people is a Google search and.

A

The Google search for American president lines archives shows boom. The top hit is our finding aid on the online archive of California.

A

A

Wikipedia articles on companies and topics related to what you might have finding aids for oftentimes will end up linking to something like a company history that you've put into your online finding aid.

A

We also mention on our website some of our major archival collections and again, links will show up really high up in Google search for the archival collections, we're very fortunate to be participating in the online archive of California, and let me show you here: it's a wonderful host for finding aids. It is searchable, it will also host links to images. If you have, let me show you that which sometimes works better than others.

This is a monstrously huge finding aid, but there are other options, one of them that I think could be useful if people don't have access to a repository such as the online archive of California. That's designed just to host finding aids would be something like the Internet Archive. We don't put our finding aids up on the Internet Archive, but we put our digitized library, materials up and I think that it would be a great way to put up finding aids as well. It's completely easy.

What I do is we have scans of our materials and then I format them into PDFs and do the OCR to make sure those PDFs are searchable and then I upload a PDF into our collection on the Internet Archive and the way we got a collection on the Internet Archive was uploading quite a few items and then contacting them and saying hey. Look at all these items. We have we're gonna keep doing this. We're gonna have a really large collection.

May we please have our own collection on the Internet Archive and then they enable that so that all your items are together and uploading to the Internet. Archive is completely free and it's really easy. I'll do a quick. Let's see, yeah I'll. Do a quick look at the back end here. So folks can see that you just hit upload. You drag and drop your file here and then you're going to get.

You know pretty easy, pretty standard, and then let me go to one to show you a typical edit. The metadata view. It's I don't have anything ready to go right now to show you the exact one, but.

You can upload a Marc record also, if you have that, but if you don't it's pretty easy, just filling in the textual fields and I think yeah we can go here to edit I want to change the information and the screen when you upload is actually simpler and easier than this one.

But it's fairly easy to see where you can just put in the information that you have description.

A

Contributor is important to get it just exactly the same every time, because that contributor field will help you search and have people find your resources.

A

And a lot of this information here is populated when you upload, and then you just hit, submit and I'm going to go back since I, don't actually want to edit it and when you upload your PDF, the Internet Archive then will automatically create all these other formats for free automatically, without your having to do anything even Kendall, and then there's a great advantage so that anybody searching in the Internet Archive when they go and search here, they can search based on the metadata that you put in those subject headings that creator those notes or they can also search within the contents of the items.

So if you uploaded something like a PDF of your finding aid, everything within that finding aid, if it is a searchable finding aid will be searchable here for the search text. Contents so granted. This isn't something we've done ourselves, but I thought it might be an option for smaller places that don't have other options for getting their finding aids online or they don't have something like the online archive of California.

It helps yeah advance your Google search hits yep and.

Another comment: oh yeah, marking up the finding aid in HTML and adding an 8 56 to the record images handled by electric record sections. Yeah.

Definitely and there's also an option within coha to host PDFs as attachments to records. And again, though, this isn't something that we've done.

Think I asked this once in the list. I can't remember the answer. When you talk about attaching a PDF to a record I said you didn't do it, but you know how yeah.

Thank you sure. I think that the metadata that you put into your bibliographic record then would be really important because I don't know about. If you just have the PDF attached to the coha record, then how searchable it would be to services like Google.

Actually I'm thinking of it in context the midst, our authors, catalog, that I ran and we compile a bibliography each year. Oh.

And I've been uploading. Those on a separate file server is set up, set up to run on port 81 on the KOA instance, but their institution blocks pretty much every port, including 81.

We were recently upgraded to 1911 and I've, been playing a little bit with the new scanning.

That's available for browsing and I'd be happy to show folks that I don't know if anybody else has been playing with that yeah. Let's take a look at that this. It's it's pretty neat.

Let's go over to.

To our catalog here and, let's see I, have to admit I'm a complete newbie with this feature. Here we go so, let's see, let's do something huge like fiction and little box here, scan indexes search and you get some terms. Let's do some do that again with something bigger that we would get in our catalog, like ships.

And there we go lots of terms and phrases: ooh.

A

Ships on postage stamps, why that's ah I think I think, because this one has a period yep and this doesn't. This probably has subdivisions. Let's take a look.

I think this is really cool. It's a first step towards the Browse feature.

A

No subdivision interesting I'll have to look more into that and I think this is related to this. Development is a step towards the new true Browse feature that they're developing.

I've been talking this up with our staff, saying hey, you can now scan the indexes I like it too, with authors.

Steve scopes forgot to hit the scan index button. It is so new.

I think it's really great.

And let's go over to the public interface I.

Wish it were here, but that's something that I've been really trying to point out with my staff, is that this is sort of staff side only so keep that in mind when people are looking and people are searching and trying to find things, I'll stop my screen share here.

So does anybody else been upgraded to 1911 playing with anything.

Think that when I moved, our server off-site I upgraded to 1911, but I haven't had much chance to play with it as I've been doing other things.

We were upgraded several weeks ago. Most of the things I've been doing with her, like fines and things.

Had a lot of legacy data that didn't kind of agree with some of the things in the upgrade so I haven't. We haven't really dug into the cataloguing side of things very much, but we did notice that the drag-and-drop rearranging fields in the basic editor that was different first, my cataloguers and there were slight changes to the spine label print print, a tool that.

Off my catalogers because before it would like leave the screen up and you could print it again if you wanted to and now it just all goes away. So oh.

Don't know if they've scanned it or not so I was thinking about writing a bug to like propose. Maybe we shop like a history on that screen or something just to show what you your scanned already. But those are some of our kind of looking things. I was gonna, see if I had others yeah.

Having a history there that sounds really useful: I've been playing with the new advanced editor copy and paste and keyboard shortcuts redefining, and it's very different. Let's see, I can show people that I share my screen again.

Let's get it over to your staff interface.

Just go into one of these records.

Get onto the advanced editor.

And let me scoot this over.

So the little clipboard here the coha clipboard- is the new feature and it has very cool new keyboard, shortcuts notice, I've, redefined my copy current field to control Z, but out of the box, it's ctrl C and copy current subfield shift, ctrl, C or new.

So if you're in a field- and you do the keyboard shortcut to copy the current field, the whole field goes over into your clipboard and then you can paste it. Oops I keep hitting ctrl Z ctrl V. You can paste it with I! Think it's ctrl P! No! Here we go.

Let's open that in again, I have to remind myself I'm very new to this paste selection from keyboard, ctrl, P, okay,.

So ctrl P nope I'm still gay the way it interacts with the operating system or not is very new. Okay.

Thank you are copying and pasting the one yes.

This is another problem. Is there's no way to clear this clipboard, that's a new bug that they need to work on if.

Are those shortcuts browser specific or is a system-wide? It's.

System-Wide, okay, so the keyboard shortcuts in here, if you redefine them, when you login on another browser, it's the same I, don't know if the other catalogers using the advanced editor will also have the same ones, because currently I'm the only one in the advanced editor I have to verify this with my volunteer cataloger.

Another difference that I've been commenting on bug, 1, 2, 4, 4 6 about copy paste is that if you highlight just a portion of text- and you want to copy that, there's now no way to do that, because the copy function has been cut off from the operating system copy function. So if you copy you're again getting like right now, I've highlighted that just this and I hit control Z to copy nothing happens.

If I unhighlight I can control Z and I get the whole field or I control shift C and I get just the sub field, but if I wanted to something, I will tend to do if I had some field that I didn't want to get a typo in like methan and I, wanted to just copy that and use that for an added entry. I can't do that anymore, so my shortcut is to open up the record say in the public.

Oh pack, I would go say this were the same record in the public OPAC maybe go to the mark view view plane and then because I'm, not in the advanced cataloger here I can then use the operating system to highlight something copy it, and this is why I kept ctrl C for that and then theoretically, I would be able to go paste it in here. Yes, no still I had still have that so I'm still working on this working on the workarounds for the new copy and paste.

So I'm gonna get out of this record. Cuz I don't want to save any of these edits.

Guess one other thing that I was excited about in the upgrade was the fact that there are database fields for the 245 subfields now so like subtitle, GMB, yeah.

That makes writing reports much easier on that so and we're excited that it's allowing the subtitle to display in more places like bullets, q. So that's exciting. Yes,.

Yeah often that subtitle field is really the only distinctive part.

Yeah I think 1911 has a lot of new features that are really useful.
