Hello, welcome to the first of our quarterly experimental later in the day, uh cataloging special interest groups of koha us and I did come across one article that I thought people might find interesting. I'll put the link in the chat. It's on the. Let me let me just read you the title. Harmonization of us Mark can Mark and UK Mark by Sally H McCallum, and it's free at the Library resources and Technical Services website.

You can download the PDF and I I find that these initiatives are very heartening so that we could do more easily shared Mark records in the future. I hope I hope. So that was one thing. I came across that I thought folks might find interesting.

We use the advanced cataloging editor and in trying to solve a different problem.

um I ended up with some nine five, two two tags in my bib record, so that's the DDC classification and then when we tried to save the record, it won't save if it has a 952 tag in the bib record and I'm, not sure whether it's always been that way. It should be that way or not.

We thought it was a different problem and so I'd opened a ticket, but then they narrowed it down to it's the 952 tag in there which, um like I, said that got in there for a different reason, but I was just curious because you can put it in the record and you can get the drop down that'll. Let you pick your options so I just didn't know. If anybody come across fatty or new, you know. Is it not supposed to work? Is it supposed to work or.

I'm clicking over to our instance of koha, to edit a bib record in the advanced cataloging Editor, to see if I can put in a 952.

Let's see- and you said it was a subfield.

Two yeah, so it's the one that just says that you know that's the classification you're.

Using look, look at that yeah I put it in I keyed subfield, two, an in-popped Library of Congress classification like now.

Are you able to save the record once you've done that.

So I think it it ended up being one of those things where I was trying to correct something else, and this was an unintended consequence and then, when that happened, it's like. Why is this not working, but the more we thought about it? Maybe it's not supposed to and never did, I don't know.

What I'm I'm coming in late to the conversation, we have multiple.

We have three classification systems in our Consortium and they're all in the subfield, too I think it's whatever subfield that has the Dewey as the default. That's the one we have so is that what's not working I, don't understand. What's not working yeah.

952 is the item record.

Right, but this is a 952 tag in the bib record, and so then, when we tried- and you can put it in there in the advanced cataloging editor, so you can see it. But when you go to save it, tells you that item tags can't be saved or some little message like that and I wasn't sure if it always been that way. If it was a problem- and we only discovered it because we were trying to correct something else- and this was an unintended consequence. But I was just curious.

Only yeah I mean, and it also sort of seems like if you can't save it, and it's not supposed to be there, then it seems like it shouldn't really show up and let you choose from a drop down as if this is behavior, that's allowable and.

I I think that the advanced bibliographical editor should let you type anything you want to type I really do because I think that's kind of the point of it is I'm just going to type in what I want to type and if I were typing and say I made a typo and I typed 952 instead of 852 I, wouldn't want it to freak out at the point of the typing I like the quality control happening at the point of saving, and then it flagging it is. This is an invalid tag.

You need to fix it I kind of like the behavior.

All right so I went to edit the record I scrolled down here, say: I wanted to put in an eight five two, but I made a typo and I just kept, making typos and I put in a subfield too, which, yes, this is an item record field normally in koha.

We see this in item records.

I could pick the classification schemes that we use in our catalog, but when I go to save it, I get a record structure. Invalid, cannot save and it Flags item tags cannot be saved.

So I can take that back out and save my record.

So I think that's.

The behavior is that okay yeah, so that's sort of the question. Is this Behavior? What should be, or should there be a way to prevent this from happening? I mean I like it, but I'm, a cataloger that loves the advanced, uh bibliographic, editor and I know that many many places that have the advanced bibliographic editor are used uh used by people who are paying attention to very specific parts of the record. They may not want the ability to even type that in.

I just wanted to know whether it was Behavior people you know people had seen before and as we went through it, we decided. You know. This is just something that you can't save an item tag in a bib record and it's always been that way and it was conflicting with a different problem. We were trying to diagnose.

Me my dream is that in the advanced editor I would see all the bibliographic record tags and then perhaps there would be some sort of separator and then I would see in the same Mark format. All my items, that's my dream like that too and I would edit the items in an advanced editor attached there in the same way or I could have them I I could design it. I could have a system, preference that says I want them all in one record or I'd switch a toggle.

It says no take them to different tabs, but I mean you know me: I want an advanced editor for everything, foreign.

I have a love hate relationship with the advanced editor I want the I want a hybrid. You know it lets me. Do the advanced editor, but there's a way that, like I, could hover over something, and it tells me what the field really is, so that when I forget I, don't have to go. Look it up.

Well, I think, are there? Are there cues.

I I can never remember the shortcuts, because I don't use the advanced editor enough.

I'm completely hopeless I use Mark at it, and you can put in all sorts of things with Mark at it that shouldn't be there.

You could do that with the advanced editor too, except for the item records.

Actually, if you click, if you're in the advanced editor and you click on a mark tag down at the bottom, it tells you what the tag is.

I click on a 650 and it says, subject: added entry, topical term. This is new.

On 20.05, if you click on the subfield, then the subfield explanation pops into the bar at the bottom two. So there are yeah. There are some new, perhaps very new cubes, okay.

So one more thing to look forward to in the upgrade all right.

I'm really liking the upgrade. um My favorite things so far is the ability to do a quick print label, and then you can edit it.

So I go print label and I have a system preference set so that I get this button here that says edit. This label and I go edit and then I can, for example, do that I could um I, don't know, put yeah Heather's office.

And then go ahead and print and it will then go right to printing.

I think before I mistakenly said, 2005 22.05, um oh yeah. We have a mark in the chat saying uses Mark edit too, and what kind of label printer to use I have an ancient zebra tlp2844. That's just a little Workhorse.

And I draw the line at buying my own printer, but I print them out um as a PDF on a sheet um can I edit the labels using that method.

Yesterday I was printing, something um that was uh let's see if I can sort of pretend.

W y 18.2 and then extra come Cen on one line, C down the line c e c, and then it finally ended up going off the labels. I was taking up so much with the cem I. Don't imagine.

There isn't I, don't think so, because, if you're using the tool for the label Creator, it still has the batch and generates the batch and generates the PDF. Okay.

I think there's was it um the other option. I think is XSL or CSV, but I've never figured out how to use this.

I think um there there could be a feature depending on what printing and software you're using when it gets to that pick. Your printer phase use your printer properties to print to a PDF.

On yeah and then you could edit your yeah, but there might still be some copy pasting involved. Somehow yeah.

Yeah many years ago, I discovered Primo PDF, which can set up as a printer, and it will make PDF copies whatever you want to print.

Are useful for sending Medline search results.

The other feature I'm really excited about in the upgrade to 22.05 is the ability to view Authority Mark records sort of the same as in bibliographic records, but we discovered a little bug with that. So we don't have it completely working yet but I'm looking forward to it.

Yes, um isn't this is sort of a neat little uh Mark edit thing that I discovered uh while I was uh no I've told you I've been working on rebuilding the MedStar authors catalog, where I took uh Medline records, tagged with reference manager tags and did all sorts of horrible things that would make uh Heather clutch in her pearls and Lauren. uh Oh I, don't know, uh go grab a jar of moonshine.

Where really had a lot to do. uh This is the author's name which is last name initials rather than last name, comma, first name, which is the full author, which is in the 100 and on the urging of Heather and Lauren, is now going into a 700.

But okay uh dollar capital r capital A turns out that when I was importing a batch, I didn't change this so I just said it was 190.100.

190 dollar a and then these are the first letters of the last name. So okay I have some things to clean up here.

There's no page numbers or anything so I've changed that to I think s or Z or I wasn't consistent. Now, I am okay 269 fiscal year.

Actually, I think what this is, and this is where Mark edit makes sort of doesn't do quite what it's supposed to, but, on the other hand, I'm using it for what it's not supposed to be used for, so I can forgive it uh use 520 for the abstract and.

This is probably not um a mark tag. It's where a dollar sign and a right parenthesis appeared or again, nine eight I mean there are a lot of uh figures and things in abstracts, so that's probably reasonable, but yeah whenever there's something that release shouldn't I mean 856h yeah go take a look.

The only problem with being creative with your mark is you got to create yourself. The map for what you made the fields and subfields mean.

That's such a good point: Lauren, because you've got to be able I mean you can't rely on us Mark documentation for it. You've got to track how you're, using it.

um These are the uh Medline tags, ID is the pii or the pmid, or for the DOI, not the pmid, unique identifier.

um 0.99 is either avid's unique identifier or the PubMed ID number same thing and I've started, adding things like degrees and programs where they, where the authors work. This is mostly for to keep track of the residents of what they're doing so. Yes, I am keep I, am keeping track of things as best I can, under the circumstances.

Know for the first time, I was showing someone how to do the z39, how to add a z3950 and I clicked on it and I'm like oh, my word: how many different kind of marks are there I didn't realize Australia and England and Canada.

I thought the whole purpose of Mark was everybody was the same.

Speaking of which anybody have anything else, they'd like to bring to the group, oh, we have a question from Mark. How do you all handle authorities in koha, particularly when importing Mark records?

A

Some says: I see. Yes, a lot of Coho users don't bother with authorities, and you know that it works great. That catalogs with good keyword access, don't need a lot of cross-references it. It truly can work. uh We use authorities we're very specialized we're a maritime history collection, so we have a lot. We like the authorities because we like cross references. We like pointing people to the correct heading that we use.

We also use the user, contributed tags for very specialized vocabulary, so um we use a CLC, so I import, Authority records from oclc as well as keying, my own authority records and because I key in my own authority records too. We we do have a lot of local name headings, corporate headings based on RDA and aacr2, and uh because of that I dream of an advanced editor for authorities to make that keying much simpler. But we and we use the uh 670 tags I believe it is.

We we do indicate locally created Authority records in the headings and I have a local library that I'll work with that's also a Naco contributor to try to get those local headings into our national Authority file. How do I handle Fred says I have much nicer dreams. Well, I, don't share all of them here.

um Angela and Jane says how do I handle duplicate, Authority records I have yet I am working on cleaning up our Authority database. It's it is messy I'm working on cleaning it up. um I'm I merge a lot of duplicates when I find them. It's catches, catch can in our Authority control uh project and that's an area where I contributed to the koha manual on how to merge authorities so you'll see some of my screenshots and I'm going to put in a bid for contributing to the manual.

The the people who do the manual are super duper. Nice there's various ways to do it. You can put in a bug and- and just put in that this is something I'd like to see in the manual you can post to the main Coho list and ask for help.

um Mark says he's been linking manually using the button and the basic editor is needed key in and also uses koha's built-in import, yep yep, the z3950 for bringing in Authority records works really well. We have a script that does our linking. It is somehow magic we're supported by Bywater.

We have a lot of fun and we have a lot of laughs um if this weren't during work hours, I think we'd have a drinking game for how often someone says I'm, not a real catalog or Okay um Jane says I've been running into the 50-page problem, with alphabetic lists of Records when merging oh wow. I had that um and you just keep merging, but some of mine was also before my time.

um Someone had imported a library that had been using Co-op, but in a local instance, and so their local subfield, nines and the authority oh remained.

And so I had two different authorities with the same sub filled, nine, wow and and I was trying to like catch them manually and then I'm like I, discovered market and went. ah Why don't I just export all these and just get rid of all the nines.

Import them back in and then and that helped so some of it was the nines weren't lined up and then some of them, the ones at the end, were like someone had put a space, oh before, like they put a space and then the name or a space, and then the subject which is very easy to do. But it plays havoc with your authorities.

Wow and barcodes I recently discovered a library that had I'm like. Why isn't it showing up when I do a batch modification? But if I look up the barcode, it appears it was because they put a space at the end of the barcode.

Yeah yeah COA can be very sensitive to spaces around the barcode numbers I've run into that problem before I'm I'm, going to mention for the new people and hello. Welcome Darlene Townsend, also from University of North Alabama, been on Co since 2020 interested in talking to others, especially academics, libraries, and about using authorities all right welcome, I'm, going to put in a pitch too for the consortia special interest group.

um We welcome consortia issues here for cataloging because, as Lauren's mentioning, they can be things that those of us in a single instance have never imagined um and uh also um a comment about still merging records from multiple libraries on it's kind of probably our secret in cataloging. But we will always be merging authorities because you know we're human.

Is there a way to merge authorities in Mark edit and then import like once you've kind of merged and cleaned them up in Mark, edit that wonderful tool and.

Upload it back in to co-op well koha, let you do that.

There's been a discussion in our cataloging email group about doing Authority cleanup projects in Mark edit and then bringing them back into Cohen overlaying them. Yes, Coho will overlay, um oh gosh I would say subscribe to our cataloging email list, so you get access to it. um Elaine has been working on this and Ryan at wheelers in New. Zealand has chimed in and has been sharing how they do it. So, yes can be done.

uh Since we use oclc, we overlay on the 010 but there's other ways to do it. Oh link for the email list, I will look it up.

Oh and Jane asks really when importing Authority records. All the numbers are, or at least were the same for all records in that batch. I'm, not sure I understand the question when I talked about overlaying on the 010, each Authority record has a unique 010 um hi. Yes, welcome.

um I wondered about linking merging based on that, but when I run, the batch for authorities and I tried to do match on match on a record number, it wouldn't find it and then, when I do merge, what I notice is that what's in the 010 field, changes and maybe assigns a new one based on a Time marker, I'm, not sure? What's going on with that in koha, it doesn't make sense to me I'm, not reading computer.

Are all your authorities from one library or from multiple libraries are they from because each Library, if you imported them in, are going to have different control numbers? Yes,.

You got to get rid of those numbers.

Lauren um we imported Community College, we imported a Consortium of libraries and we added a community college and the powers that be decided to Overlay my existing authorities with the ones from the community college, who had not been doing Authority work for a number of years and then, when I fussed about it, they just opened them all back up and unmerged, and so we have multiple duplicates.

May they Rest In, Pieces um and I. Do my cussing in my office with the door mostly closed, um but and when I run the merge duplicate authorities. There is a report for that, but what I'm ending up with is a whole page of things that are merged, that look like they're the same, but they don't have information, so I skipped those and go to the ones that are actually duplicates and then merge them. So it's not intuitive for some reason. I think there must be a glitch, but I, don't know what it is.

The only thing I can think of to get get it taken. Care of is actually get all the directors say. Yes, we need to spend a chunk of money and send it out for laundering and get all of those taken away and replaced by the ones that are real and then try to keep up with that file. It's a dream. It probably won't happen and I'm retiring this year, so I'll leave it for the next person. Poor thing, thanks for the discussion.

We're we're also matching on the 010. We get all authority records that I'm importing I saved them in the oclc, cataloging client and then I import. That file and if I'm, overlaying, I have to admit I will be ultra careful about checking the 010s in the records that I want to Overlay. And if there's a new record say we've can we've asked Naco, contribute something then I have to go and they do I have to then put that records 010 into our local koha record so that it will overlay.

But then all those records coming in get a new 001 created by koha when I import, the batch or unless I undo it like.

Keep thinking about it and keep coming to talk about it, because this is something that so many of us do and there's so many different ways to do, and there are even Coho libraries that have done the one great awesome, vendor Authority control and then keep up with it. There's some that do ongoing vendor Authority control. It's there are many many ways.

Pretty much um I run all mycoa instances from digitalocean, which is a cloud provider. um They've raised their prices, but it's something like 25 24 a month for what I need and I can just make a snapshot.

Turn the snapshot into what they call a droplet or an instance, and if I do something like, uh let's say: sudo rm-r uh asterisk and delete every single file on the in on that server. I can just wipe it out and start over again and I would not dream of making huge changes like even an upgrade without testing it. First because I'm alone, I, don't have uh support Vander and if I make a mistake, I have to figure it out.

Think since we started working with Marketplace been a market customer for since the early 2000s, and then we do unborn authorities with Marco, um but we're we're like a medium-sized academic Library, so Authority Works important to our at least for now. I used the advanced, the advanced search and did subject as phrase and anytime. The old phrase was still there, I could go in and do and it wouldn't globally update, but I could find them all.

Some there's some good quality control reports on The, Coho, Wiki I know I've grabbed one where I can put in a string uh in between percentage signs, for is this used in a 6xx field, and it gives me back a report that that's hyperlinked for um for.

There is a link to the Coho reports, library, on the winky on the wiki I'm, also going to mention Miranda in the chat mentions. They use backstage Library Works, sending about 5 000 bib records a month for Authority processing and Fred says he gets most of the books from Rittenhouse. Catalog records are available for download, but using oclc, because usually you can find better records there and Miranda's saying they do a lot of global updates for Authority works.
