Welcome everybody: this is general microsoft, 365 development, special interest group, let's get moving on today.

uh What we're trying to do uh is is basically go through the intros and updates always within uh within 15 minutes, and so we have actually quite a lot to go today and so we're going to talk about quickly uh recap on: what's the status with open source projects, so I'm going to be as fast as possible on those uh latest microsoft team samples and then picture time together mode didn't work that well on tuesday, now monthly community call for sharepoint. But let's try it again today.

I think it's it's actually nice to get started, and then we have three demos from chris nieto and teresa. So let's try to keep on 15 minutes per demo and 15 minutes in the intro. So we will speed up uh certainly today now uh opportunities to participate quickly. Recapping on that one. We absolutely 100 welcome communities to do demos in here. uh So if you're interested in sharing your learnings in the demos in the in the community course that's one way, other ways is getting started on contributing in github and, most importantly, give us feedback.

Give us feedback if something isn't working, we need to know about it, and then we can actually start fixing that so your input defines what microsoft does so, really really important, always keep on having that feedback. Now, a quick recap on the on the urls there's a lot of urls not going to re-mention all of them. We have youtube channels.

We have open source samples and samples, we have open source repos and then the one url which you need to remember is the acms m365 bmp from there you'll find links to microsoft, craft sdks, you'll, find links to the sample gallery and links to the youtube, and all of that so super super important super super easy location to remember now, since we are in the microsoft 365 general community called, uh I just want to remind that. We are actively working together with community on collecting microsoft theme samples.

So we already have a microsoft team sample gallery, which is by far the easiest way to find easiest way to find anything uh any sample related on microsoft teams. So if you go there and you there's multiple ways of actually finding the relevant sample for your bot steps and all of these different capabilities are available, and this contains samples from microsoft and also from the community. In future, we are looking into building a completely unified microsoft, 365 sample gallery across different products, but we do not have an eta on that one.

Yet now I will show this slide to david, because I think you're ready to go to quickly recap on this. One.

Yes, absolutely thank you vessa. So, as everyone knows, the pnp community is completely open source. This is from a consumption and a contribution perspective, but we also understand the process sometimes of consuming our resources and tools, as well as contributing back to those same resources and tools can come with some hurdles, things like understanding the landscape, the tooling github etc.

So the sharing is carrying initiative is here to provide you hands-on, step-by-step guidance in smaller sessions, similar to today's but smaller sessions that we can work together on showing you how to accomplish the usage, as well as the contribution process. We'll walk you through counts as a contribution, in fact, and you'll get hands-on, you'll be able to ask questions and it's available everyone for free. We have multiple session topics, as you can see.

First time contributor, community, docs, p and p s pfx samples they all build upon one another and they're completely safe spaces, there's no recording of them. So you can come and ask any question. You want completely free of charge and we have a lot of different times and we're adding to the available sessions as well. So go to aka.ms sharing is caring and register for one of the upcoming sessions. There are more sessions here coming up in november, once we get through the october community docs sessions and the pnp spfx sample sessions all right.

Hey excellent, thank you david. uh You have really a nice radio host voice like beth is saying in the samples so moving on on things. Let's see our radio host golden bird. So can you do a quick, intros and updates on here.

I'll try so uh just kind of a quick recap of what happened over the last weeks, so we released preview three of our pnp core sdk, which is our brand new library, uh modern.net library that we are building. We also released pnp framework. Now what is pnp framework framework actually is pnp site score, but then for net standard 2.0 compiled with the system for the standard version. So essentially your good old pinp size score, but now it works cross-platform uh in a modern way, there's kind of a revamped authentication layer.

uh Some cleanup was done and it only supports sharepoint online. Now, on the slide, you also see the roadmap that we have, so you will see that we will continue moving forward for pnp framework and we will stop uh releasing ppsi score, which will happen like somewhere this year.

Maybe we have one build uh still to go like the november build most likely, but I don't think we'll do it december being with size quickly anymore. So at that point all the releases going forward would be pnp framework.

Next, to that, uh you see also that being because the gay f, so what you'll see happening is that we are kind of building features in p b, k, r sdk and then we'll consume them from pnp framework. So essentially, this gives us like a a model where we can gradually move over logic functionality from pnp framework into pnp core, because that's our new sdk, with proper testing, with a better architecture, better maintainability, et cetera um without you impacting so.

If you're using pp framework, you might be using bp car as a gay as well and recovers. It doesn't really matter for you because you just use being framework, but at a certain point, because the k will be rich enough, big enough for you to just directly use it and not usb side score anymore. Sorry, framework, good um too many names too many frameworks, but I.

And clarifies with what we're doing and why we're doing things and.

This is all for simplifying development, all for simplifying messaging and and being more efficient and then taking truly advantages, for example, microsoft graph apis when we're in sharepoint online and then those apis are not in on-prem.

So yeah it's uh it's about that and also mainly about sporting.5 and being uh having something that we can ensure quality on. So we have like eighty percent plus that's coverage for being because the gay which is really huge and that will help us kind of maintain quality and do reflect drinks without breaking things. Now, what happened? Actually a bit more in depth around so left side? The speed frame would be beside score, so we have now nightly builds. So there is no need anymore to wait for the monthly release.

You just grab the nightly build of pnp framework. You get the latest. So that's a good thing. I think some bug fixes happened around a package deployment using for fire ipmp template uh what's coming up in the pmp framework site is uh vrs, so we are now in a state where we have like bb framework and ppsi score for like a couple of months.

We need to uh kind of keep both in sync. We need to copy over prs move over perhaps on pnp sites called the pmp framework.

So if you have a pr in pnp sales core, please please uh just check check it and kind of if you still need that pr in ppp framework, edit again there so there's a bit of extra work for now, but I think that's just a short time window that we have this extra hassle to take care of, um and then we look at kind of just shipping, a ga of pmp framework around december time frame and at that point also retires being beside score.

So we'll just make it with only in the repo and then I think we're just moving forward the beam framework for the pnp car sdk. um We had additional authentication providers and an updated asp.net sample. So the sample now uses the when you log in with it in your asp.net site, using azure id the same um token essentially used when you use bmp framework, sorry being because gaya so that's kind of all transparently handled now we did use a custom action support uh now for the end of this month.

We are looking at beta one uh with additional model improvements, so views alm navigation again, if you're interested doing like dot development, and you want to kind of get into some real cool.net code uh just reach out, uh we can set up a session with you help you get started coach, you and kind of so you can be part of the team um and then timeline wise november, 2020, uh beta2 and then ga, hopefully uh by end of the year and by the way, uh just one I think highlight overall the pnp framework being because the gay has 64 000 tenants in um september, which is like a massive number.

Yeah, just we need to next time so um so bmp powershell urban, uh quick, intros there as well I'll.

Take the next half hour yeah. Thank you so um yeah, quite some changes in the uh in the what I now brand as the classic pnp powershell is not classic. Of course it works to sharepoint online, but yeah just to clarify. There is now a windows only version of pnp powershell, and there is the cross platform version, the the modern or the new pnp powershell. So the wins only version uh you will see me referring to that as classic uh we fixed quite some, uh some little bugs and and prs we merged.

We created the new commandlet register, pnp management, shell access, which is maybe on the the windows, only version not that relevant yet, but for the cross-platform version. It is very relevant because of the way authentication changed behind the scenes, and we also started to work on those prs that uh we merged into the windows only version that we will make sure that they also end up in the cross-platform edition and the cross-platform edition. That is the big news of this month.

uh Just as bad mentioned, the bp framework is out the closed platform version works on the mac, os windows, linux, azure functions, v2 and v3, azure cloud, shell. Basically, I've even read someone that made it work on a raspberry pi. So that's, I think so that was full yeah. Try, true true, so really cool. It's out there right now notice that it is a pre-release very important, although it's it's mainly the same code as the windows only version, but behind the scenes we don't use the pdp core library anymore.

We use the ppin framework there and that will over time, slowly migrate to the pnp core sdk.

We already have 41 new commandments in the cross-platform version that are not in the windows, only version which could be an incentive for you to check out the the new version uh it's very easy to install um and it works on windows, of course, in the old powershell, even in powershell 5, the one with the blue background, no issues there, it will run there too end of the year. We will retire the classic pmp powershell.

That means that the repos will still be available, but we're not accepting ndpr's anymore and we'll move over completely to the cross-platform edition. That's it for.

Me sorry, irving. Now I need to start doing the oscar show of background music on top of people talking, so we get the timelines uh quick recap of modernization, tooling. uh More than one billion pages are now modern, which is pretty cool yep.

That's it now, one more thing: one more thing: we just released a new scanner so if you're interested, if you're doing workflow scans so this the current scan of the previous scan actually did miss out on uh workflows on content types on the list, so that has been fixed. um But besides that, I think the one million pages are like pretty amazing milestones, so one million pages have been transformed from classic to modern, so yeah, that's really cool. That's really! Really.

We had a great release now uh preview, 2 of 2.16 actually half an hour ago. We have preview 3 as well, so I've been incorporating a lot of stuff that happened over the last few months, but the biggest thing is, of course, support for schema, 1.7 and 1.8. Instead of making two releases, we took both schemas into this release. Also support support for sdk, the team's javascript, sdk 1.8 and all bot frameworks, actually prompt, 4.7 and later should work.

With this we dropped some support for older schemas, but, most importantly, there's quite a few uh great community contributions, both in terms of features and and fixes, etc. So I'm super glad about that. We have. The biggest thing is, of course, we have parker as the default icon now in teams as well. So yeah, yes and I hope to release the 2.16 within a few days unless we find some big bugs in there looking into the next version as well, um trying to keep up with all the features that the team's team is releasing.

I, on the primary thing I'm looking into now is the team's extensibility into the generator as well or the meeting extensibility. So you can scaffold out the meetings, tab and those kind of things.

Thanks cool excellent, thank you victor good to have you here as well, and then we have nicola and beth doing quick intros. I think it's beth who's talking around the microsoft craft toolkit it's great to see that everything is moving forward and new stuff every single week.

Oh, thank you yeah. I'm here uh thanks nichola for updating the slides. Actually, I just came back from oof. um So, let's see, if I can do this right, um we're having a couple updates to 2.0 preview. 3, that's just released um new person car. You can see that's moving on the right side of the screen, there's a file section or profile section, and caching now uh does some magic stuff around the people's images. So we're not fetching those specifically anymore.

um A lot of bug fixes for 2.0 um things. That's coming up! I kind of touched on this last time we're going to have localization helper dark theme for all the components, let the packages and have mgt elements. So people can extend to build their own components right to live support person, card templating and can fit new prototyping sections. We're going to have new react hooks in mdt react! There's a pr for issue for that. If you have any feedback, you can come leap feedback also for the file file. Picker, that's a new thing.

Our pm partner just had the also pr for prototyping so or spec. So if people want to delete feedback go to repo last but not least, we're also collaborating with the flynn ui team in order to build on web components on top of what they're building so a lot of collaborations coming up there. If you want to help join the contribution contest, yeah check out our good first issues and help on it and go to the contribution md in art, repo and we'll go from there.

Yeah and on the contribution contrast, that's actually really cool and the people will get spack based on their contribution, not only just one person but multiple versions after a while so go and check it out, it's really really cool and then a quick recap also on the microsoft team samples which we do have from the past two weeks, uh one sample coming from vartaman, which is related on using uh how to use tasked modules uh in the microsoft teams, which have been built using spfx and can use microsoft graph behind the scenes and all of that so just really cool sample.

In general. We really want to have a good set of microsoft, themed samples in one location so that people can easily find them and then eventually. Obviously this will be surfaced in the microsoft 365, unified sample gallery. Now we're going to take a 30 seconds on the group photo for those who are interested in actually joining. I will share, hopefully together mode today successfully and there will say a small hiccup on that one on tuesday's monthly community call, and but let's see unless my my kid is eating up all of the bandwidth.

No actually, this looks locating more and more people. So, let's see if we can get the 50 people uh paul cannot behave. Okay, that's nothing new! No just kidding. I think we have a 50 50 uh people attend the limit in this. Unfortunately, uh but I think we'll be and that's getting adjusted every single time, everybody wave hands way, hey excellent. uh It's not super super precise, but it's okay, excellent thanks! All right, everybody, I'm chris stopper, all right, so we're gonna head over to our warriors site uh and uh the warrior horses are pretty excited about some of the new microsoft list stuff um and for those of you who haven't seen it. In addition to be able to go to microsoft, list right and create new list templates everything you can now go right here on your communication or your modern team site. You got a new list and bam. Look at that.

You got that nice interface, where you can still do the the standard list or from excel or copy one, but you also have all these nice templates down here now. We've gone over some of these before, but I wanted to take a look at how the horses have chosen to extend these right. So if we do something like the issue tracker now we get a nice little preview here and we're going to go ahead and use that template.

Actually, we've already done that, so I'm going to skip hidden use template, but we'll take a look at what the horses have already put together come on over here. We've got an issue tracker here and now this is just the standard issue tracker. With some information entered here now, you'll notice, it's got all sorts of formatting applied to it right, so we've got several column formats. Here we even have a view format. That's highlighting any blocked issues here with a nice, pinkish red and that's really cool right.

If we want to change some of those, we certainly can or we go to column settings and we can format this column all right, this one's using rules. So we just manage those rules, and so you can see this is the one that's making anything over 30 days. Have this interesting border, an icon, or if we want to change that, you know we can come in here and go more styles right. We can switch that icon to a thumbs down right. You can start to do all sorts of cool stuff. Maybe you don't like that?

It's on the right we're on the left and that's awesome right, so I didn't have to do anything. I just hit that button to add the issue. Tracker, template and I've got all this, and I got all this really nice format and, as I add items I just show up- and I can quickly customize those right. So even if I want to change it from 30 days, I can hit edit rule and I can say you know anything over uh 10 days. I want that exciting format.

Right so, and I see my 13 day old one is showing there now for this. I want to go ahead and cancel, and so that's really cool, but what if we could take this a little further right? What if we wanted to visualize this in a couple different ways, so you can see they've already provided multiple views here, but what? If we want to take this exact view- and we want to look at a little differently? Well, good news.

I wasn't just asking that question for no reason if we head over to our sbw list, formatting repo, in our view, samples folder here, if we scroll down, we can actually look for the name of the template in this case issue tracker and we've got this issue tracker planner card sample click on that I'm going to click on this little json file, and I'm just going to take all of this stuff scroll down to the very bottom.

It's very easy format, I'm going to right click, I'm going to copy that sucker and I'm going to come back here all items I'm going to format the current view right so right now you can see it's got that additional row class here, um which is doing this. Don't worry we're not going to lose that when we come here we're going to paste ours. In fact, if you look at the top, we've got that additional row class here. Let me make that a little bigger.

So let's see it, we've just done it to a one liner, but it's the exact same thing. So if I preview wow, that's great, so what did we really? Just do right, so, let's save it, what we did is now we've added a tiles view all right. So if we click over to tiles, we can see this whole thing displayed, and now they imitate planner cards all right. So it's nice to look at the list and see all that, but sometimes it's really nice to be able to see it on a familiar kind of interface.

um You've got some nice things here with the planner cards right. You can come in here and you've got the kind of little drop down here. So this is demonstrating uh the idea of using that hover card to create kind of a contextual menu all right, so we can hit the share and we can do all the you gotta hit the stick around with it over the idea. Is you can quickly edit these things? I can just open them, see, what's going on, see the hover cards for individuals right.

So if I want to find out more about who it's assigned to, I can get all that. So it's a really nice way to just kind of see this issue tracker in a whole different way. It allows us to take the real power of microsoft lists and some of these templates and extend them with our own formats. All right. We certainly do that with that one, um but of course you can also do that with any of these columns right.

Maybe you like this look, maybe you want to switch over to that face pile. You can do that right or maybe you want to take this date, reported and add some coloring on that very easy to do. But the point is these uh list templates?

D

Take you from not just creating a list. They really jump you into some of the the better scenarios with the format and everything else, and it's a great way to get going, and you can take those p and p samples and go even further. Now I've got another one here uh and I'm going to create it on a different site.

So if we go over site just to new list- or in this case I would just pick the second template- employee onboarding, all right that looks lovely I'm going to use that template and we're just going to call it. Employee onboarding sounds great.

Alright, this is a cool list. One of the things I wanted to point out, though, um is it won't be obvious when we look at ours, in fact we'll go ahead, and if we look over here, we come back over to our where the list templates. Let me go over to our employee onboarding right. We've got this nice employee onboarding list, one of the things you'll notice is. There is no view formatting applied here right. So this is the employee onboarding with content, but you can see it's got.

You know some nice column formats on here, like all three of these are custom column formats and that's cool. One of the things I wanted to point out is: if you go to format the current view, you'll actually switch to advanced mode, you'll see all this gobbledygook right, so it looks like microsoft's still working on some of this uh believe it or not. This is supposed to be alternating row classes.

It's just fully escaped and they've got a little bit of a problem. Don't worry, it doesn't break anything obviously, and I'm going to show you how we can restore that. So if we go back over here to our employee onboarding we're going to go to format, the current view go to advanced mode, where I've already cleared that out on this one. Now, let's go back to our samples, repo.

Let's just go back to the root. Now we're going to view samples and again we'll look for the name of the of the template: employee, onboarding we've got the steps format, so click on that json and I'm just going to grab this as well.

It's exciting format! Oh, don't forget your last quickly, you'll be sad, all right, we'll copy that we'll come back here, we're going to paste that in and let's uh save that as we can see now, so you can see- we've restored the alternating rows. That's just this simple one liner right here, not simple, but just it's just a one liner right and that puts that back those alternating rows that were intended to be a part of this, but it also adds another tiles view. So if we close this, we could switch it over tiles view.

So the idea of the employee onboarding right is it steps for a specific employee to do when they first come on board right, so they just got hired and they're. Saying hey before you join right. You need to pledge your undying allegiance right. I think the sample is uh sign your employee contract right and on the first day, you're going to do these items and week one you're going to track kind of what you're doing so.

It's just a way to make things easier when a new employee comes on board right, so you might spin up this list for them and fill it out and let them go with it, and this is okay right. This is very even with the cool formats, even with the alternate rows. It's still very excel like right. So if I'm an employee, it's maybe a little bit confusing. So we've got this new tiles view here which helps visualize this a little bit better in terms of steps right.

So let's make that a little easier to see right. So the idea with the steps is it's going to show you exactly the number of the step right. So you know exactly where you are in the process, all right, it's color coded based on when you're supposed to complete it and when you complete it all right. So if I click on this guy- and I let's click on a different one here- let's go to number five, and I'm just going to mark that as complete right.

So you can see it does this nice overlay makes that much more obvious that that step is complete. Let's turn that off and again it just provides a completely different way to look at this right again, you still got the uh the people cards and everything else which is cool, so the whole idea here is take these list templates, which are awesome um and extend them even further uh to meet whatever your needs. You're doing right. So let's uh recap here.

There, it is it's great: you got all these design mode formats. You can really kick it off. uh Kick up your list notch right at these templates uh and then once you've customized these. You can actually use your own, not as templates, but you can copy from existing if you want to get these formats copied over as well and then, of course, look for more samples, so we've got the two right now uh which are linked here all right.

So if you go to those view, samples you've got the two uh expect to see more of those for these templates. um If you're, looking if you're using these templates and you've got some formats that you've found have made these even better, uh please contribute those. Those are really helpful to everybody and that's all I got.

Anyway, thank you, chris, so really cool, uh really cool, stuff and and shows what you can do without code. Now it is debatable, is json code or not if you're a developer, it's not code. If you're not a developer, maybe it is code, but it's really cool to see what's possible natively within within the list. So thank you for that.

But next uh we actually have exactly the same scenario, which is a new employee onboarding, but we're going to actually use a real solution with sustained taking advantage of microsoft teams, platform capabilities and nikki sharpner is the presenter of this one niti, okay, excellent.

Thanks versa, so let me share my screen, so this is actually uh under the microsoft catalog for app templates, microsoft teams. This is our first collaboration with the sharepoint team. um We are collaborating with one of the solutions, that's already on their lookbook, which is called new employee boarding. So what we did is used sharepoint as a back end, so that it's very cost effective and it's structured in any way.

It's kind of like the what previous demo covered already in the new employee onboarding list, and then we built like a teams app on top of that. So let me show you the sharepoint solution really quickly, and then we will go to the teams, part of it.

What we are trying to achieve here is to make new employees really productive uh in a matter of time and also especially in the kobe 19 situation, it's harder for them to connect to the existing teams, to make that simple to nudge them and to also have uh them relate training so that they can get inverted quickly. So let me start this is what the solution looks like for sharepoint.

This is a complete sharepoint site of the shelves that you can deploy and then, if you go here, you can find the welcome to your next adventure and the new hire checklist. So this is essentially um a very easy to maintain way of like the whole uh day, one to like, whatever, like normally uh new employees, do a 90 uh day uh period for training. So this is day one to like week.

12 of that training that you can define, you can define it and classify it by a topic um as well, and then you can just paste the resource link here, whether it's a video, whether it's a deck, whether it's an external link, you can paste that link here, paste an image and then teams app will pick it up. So let me show you some of that magic uh yeah there we go, I'm already logged in so once an admin sets that up or an hr team.

That's where we kept sharepoint in the first place, so that it's very, very easy uh for, like a learning coordinator team or in human resources team to manage the content which is going to new employees. um So this once the sharepoint is set up. This is the welcome card on team spot uh once you install it and then, um as a new employee, you would see like these helpful buttons that you can introduce yourself, so a quick fun activity which is very common for all customers that you can do before you get into the whole.

Oh, my god, I have to do this training uh type of thing and then there is also a take a tour so that new employees can understand what this app is about. um For example, it shows that okay, you can write a quick introduction about yourself.

You can do a new employee checklist, which is where the sharepoint part of it comes in, and the app helps out new employees in um sort of notifying them in a structured manner. So every week you will get your tasks for the new employee checklist and then you can complete those tasks and mark them as done um and the last, but not the least, very important thing that hr teams usually do, which is that send a pulse survey and ask new employees for feedback.

So we have enabled that as a separate command that anytime new employees want to share something, they can share it using this, so it will expand and then your feedback can be routed yeah. So there we go. Sorry I've done that already. So this is test and this can be submitted, and then this goes to the hr team directly. They get notified whenever they have the feedback, and they can also download this as a report.

So, let's start with the actual introduction, let's see what happens when I click on introduce myself, so this app is beautiful in that way that, like as an admin person when you are deploying the app you're installing the app in your company, all you really need to do is create a list for all of the new employees. We pick up the mapping for the managers uh using your active directory like if you're using that already, and you can also pick up the description and everything which is editable here.

All of these questions are configurable, so you these are again coming from the same sharepoint solution that I just showed here so that like, if for like another customer wants like instead of favorite food, uh you want to have a different question. You can actually configure that as an hr team as well. So let me just put like pizza, who doesn't love pizza? Oh sorry, capital.

Okay and then movie of your choice, for some reason I saw mean, and then slogan always tested.

So then, let's see this will give you a feedback that okay thanks so much I've shared it with your manager and as a new employee, you don't need to worry about, like notifying your manager, that hey I've posted this introduction and as a manager. Also, you don't need to notify the new employee that please write something about yourself, so that I can share your introduction with the extended team. So then, let's test this out, um I already logged in as the manager uh in the interest of time.

So as a manager, you can instantly get notified that okay, this is the person and then, as you can see like pizza and inception, so show here. So I can, if I'm not happy with this like this- is uh maybe as a manager, you want more meaty uh introduction or you have some ideas that could really excite the extended team and knowing you better.

So you can actually type comments here and then.

So like this will now go back here and then I will receive a notification as a new employee that okay, your introduction is not great so like, let's edit it quickly and then let me add, like pizza and really unhealthy options.

Okay and then again it went back to the manager so that, as a manager now I can see like these uh introductions updated. This is a very common practice where, as managers, we want to post these new higher introductions in a channel and a team so that we can get the engagement started and get them introduced to the extended team.

So you can easily do that, like all of the teams that the manager is part of will automatically populate the channel, so you can post it this in a channel and then it will appear in that particular team. And then the extended team can comment. uh Do a one-on-one chat with this person? So, let's see if this works, uh I should get gotten a.

All right, I'm logged in and a different account, okay, so as a manager, you can also do this in your uh team and you post it. uh What else can you do uh so there is this new employee checklist share feedback and review introductions as a manager like. It is also important that you don't get bombarded with this request all the time. So what we have done to uh take care of that is that you can actually use these bot commands.

This will not show right now anything because you have no introductions to review, but if you had multiple people in your team reporting to you who joined, you can actually see all of these introductions as a list so that you can approve them in one shot and post them in one shot in a team that you want to. So let's go to our new employees again. um There is also a nice help. Button like anytime, a new employee is stuck.

um They can just ask for help and you can customize like what you put here as well. Like all of these, uh the the logo, the app name, everything is customizable. So if I click on new employee checklist, I land to the sharepoint site, um so that I can see that okay, this was my day one. This is my day two. If I actually go back in the app, then um it actually shows me the entire weekly plan, one by one.

So if I click on new employee checklist through the bot command, it will actually just show me all of the tasks that I need to do in week. One and not bombard you with like week, uh one to like say we get plan. This definition, some of the important configurations that we have kept um very friendly for like hr admin teams, so that they don't require like much configuration much maintenance of this app. For example, uh one of them, which is very useful, is the definition of new hire like as a new employee.

You get this app right, but um definitely after some time, you're, not a new employee anymore, so say, for example, and on an average it's the frequency is 90 days. So after 90 days, say you're, not a new employee anymore, that variable that time period is configurable very easily, so that the app will stop notifying and bugging uh that employee. After that time period has passed.

So these are some of the good things about this app one thing which I could not show in the demo, because I couldn't log into one more hr account which I would like to cover really quickly. Is this one? So this hr feedback piece that I was also showing you is also configurable, uh which is a very, very common ask for us. uh Let me just show you that quickly. So, uh as I was mentioning before, that feedback is also really really important.

Right, like uh as a new employee, you want to see and get that pulse feedback. So as a hr or admin person, you can actually just create a forms, link or any other survey tool that you use put that link inside the teams app and then it will notify the new hires on a frequency which is again configurable, so whether you want to notify them weekly or bi-weekly or monthly, is configurable and then, as an hr person, you will get like notified in your team and then you can download all this feedback as well.

The last thing I would like to show you is also this like. Let me click on like new iron running. So if I do the new employee checklist.

um Yeah, let me actually go to this one.

I I went into the manager account instead of the new employee, account yeah, so you can also see your week. One plan like right now I just refresh the whole view, so it is just week one and then you can see in week one. I have like two things to do. What we have also kept configurable is this um differentiation between a mandatory activity versus an optional activity like if something is in help resource.

You can clearly state that in the sharepoint uh list here and then we can actually pick that up and show it as that, and then you can see each and every of these learning um expanded into a card of its own and then, if you click on view learning uh right now, we just put an image here, but it could be a presentation. Any asset that can open inside teams will open inside teams um any asset. An external link which you put here will open in a browser.

So at any point of time again you can share feedback on this particular item as a new hire and it will be routed to the hr team. um Some, more goodness, uh is that that it comes with the full getting started guide. So let me show you that so some things that we come across is that. Can I integrate with my existing system? Absolutely you. Can you don't need the full-fledged sharepoint solution like if you do have a sharepoint or an existing onboarding site of some nature? You can actually integrate with that site.

What you can also do, additionally, is that if any of these pages, like another common ask, was uh like yaml communities or my leadership uh pages, if I want to pin them inside the app, uh you can do that as well um yeah. So, let's go back to this, the app and the storage of it uh cost of it. Everything is in your environment. All really we need is that um one public url here to hit teams as a cloud so that we can actually hit teams and use this app on teams.

It comes with a full setting guide that okay. This is the step-by-step procedure um of going through setting up the sharepoint site and the team side, uh but the sharepoint side like if there is an existing solution is optional. So you can also just go with teams only, but we really like how the sharepoint site is structured and we really hope that our customers benefit from it.

These are the variables uh that are configurable and so they're very easy to understand when you configure like in the previous screenshots, as I was showing you the last, but not the least, very important question uh cost estimate. So how much does this app cost so um as with all app catalog in there? I think, like some 40 of those, this is only charged for the users that actually have the app so for a company like say if I have 10 000 people in my company, um only 10 of that is new higher.

So that is like about thousand users. If they have the app and only the managers have the app and the hrt, then it does not cost that much because you don't need the app really for everybody in your company. So we have like a full detailed description that you can share with your id, but ultimately it boils down to around seventy five dollars for a thousand thousand users uh per month. So this is the cost, um but having said that, like the app is also very customizable, so you can also extend it.

uh What we have seen our customers do is that um club this with another app template, which is for uh frequently asked questions so that all the questions that new hires normally ask to hrt can be preempted here and then they can have their training plan structured. So the course goes a little up there, but essentially sharepoint is already in your plan, so it doesn't cost that much for installing this app and the deployment is really easy takes about like half an hour to deploy this. If you follow the guide, so I'll just stop here.

You excellent thank you, unity and just to pinpoint that the example estimate there was 75 dollars overall, not per user, so so, and that was basically because of the azure usage. Yes, yes indeed, but thank you niti and really really really great stuff, and it's it's I'm just a recap. On the on the microsoft teams: app templates, those are production, ready, free reference solutions, so you can and they're open source. You can pull them down. You can use them. You can use them anyway.

Okay, so my name is teresa lebowski. I am the sharepoint team lead at started out as iberia bank, we recently merged with first horizon, and so then there are applications that are owned by each bank and we have to have some cross bank access, so we have some pre-approved applications and then some shared drives and you have to be able to request access to non-pre-approved applications uh as well as laptops. Actually so.

Thus I had to create a solution for the bank access request and so just some requirements where that, um because I'm on the iberia bank side, of course, I wanted to put it in our sharepoint and we couldn't do it in sharepoint online because first horizon, only a limited number of users have actual m365 licenses, um and so also because I had to use sharepoint because of that I had to use sharepoint on-prem. I happen to have the license necessary to use power automate to connect to on-prem data.

So this is also exciting, because I got to use my license and I chose power automate over sharepoint designer, for obvious reasons and just there's a link in here. So if you want to download the slides, you can see um what I'm talking about with those licenses and so then we'll get straight into the list overview.

So knowing that people are not going to fill out the list correctly, we put some before you begin information like just on the page, so we actually created a page had the before you begin, then we had the instructions and then we had the actual request form, um and so some of what we had to do was like title fields required field, but we weren't really using it. So we just put a default in there and then required associates requesting information.

If we put this information, which is the description as a description for associates acquiring access, it went at the bottom and they didn't like that. It had to go above. So I had to create a field and just put a default value and description so that it would be above then we had to have fields that we couldn't hide like we can in sharepoint online. So I had to put a stop here and the default of course click save and the rest.

Are it use only which actually, that seems to be working out well and so then we get into the actual flow in power automate and I decided to use when an item is created or modified thinking that hey people are going to leave out missing information, so they're going to want to go back and edit their form and then save it again. So it needs to run through the flow again.

H

So I started noticing all of a sudden that not everything that I can do in power automate with a sharepoint online list is available when I'm using sharepoint on-prem list.

H

So this got me kind of thinking about this presentation about doing pointing out some of the differences and one of the main differences actually we'll see that later. But um you can see that there's a whole bunch of things that you know we're used to seeing here. We also saw them in sharepoint designer, but with sharepoint on-prem. I really only have my fields that are text values and then because I there's no link for the item url or to edit the item.

I just want to use head used variables to manually, build those links and then also uh we have emails that are going to have to go to different people, there's actually four different email addresses and knowing again that things changed during a merger, I was afraid, hey those email addresses are going to eventually change and there are like seven or nine different emails within this, and I didn't want to have to go change everything seven times every time they wanted to change something.

So I've made variables for those- and you can see here, it was very important to them that they have the item url, that they could click the link and go straight to the item rather than going to the just the list, and then we had some. um You know when we like, I said if they resubmit, because they had missing information.

H

um That's great. We still want it to go through the flow, but if they submit it and the first time everything looks good. Then whoever's reviewing it goes ahead and changes the status from new to in progress or whatever else. um So one of the first things that the flow does is actually check the status.

H

It doesn't need to go through everything before if we're just going to end up terminating and so um you'll notice. I did name everything and like here status is not new and this is going to come in handy at the end. When I see um when I want to look and see why, but the flow was cancelled, um you might be wondering why I didn't use get changes for an item or a file. This did not exist when I created this. If you want more information about this action, it's it's somewhat.

New, laura rogers has a great blog post about it, and so I put a link in here to that and then there were some required fields that we really want them to be required, but they didn't really want a whole lot of required fields on the form.

So I had to build into the flow how to check for those and what to do if there those were missing so again. If it something is missing, then it emails, the requester to let them know, and then that email has the link using that variable for the edit item and then it terminates because there are missing fields, missing information and I didn't know how many nested conditions you could have.

This is like an overview from the first condition in the main part of the flow going down. So you can see that I actually ended up with four, and here I'm just going through and listing all of the different conditions. That's not really anything that we need to go into any detail about. I don't think.

Hopefully everyone knows what a condition is and how to create it. So I'm just going to go to the end. So my original thought was that I would use update item to at the end update the status like here. You can see. I have a flow status, but I had things set up as a drop down um and what I'm and you can see. There's no other than the site in the list.

There's no drop downs here and whereas, if you're using sharepoint online, there is- and the other thing was um so here- that kind of shows you that just shows you that there are drop downs available with the sharepoint online. Oh, the other thing was that it created an infinite loop. So I had to take out the update item.

I would have gone back and tried to spend more time figuring out how to not create an infinite loop, but they were anxious to get this going, and so once I got everything running, I occasionally we'll go into the flow run status view all the runs see what's been, canceled versus failed versus succeeded. Obviously this is succeeded ones. I don't really.

Too much about cancelled it's going to cancel for one of two reasons: either there was required information missing or the status isn't new, and that could be where someone's gone in and changed the status from new to in progress. Well, that will actually launch the workflow, but since the status is not new, it'll cancel pretty quickly, but there's also. Sometimes it fails when I had to add a fourth email address, which is the fourth variable to the email, the outgoing email.

I added it, but the system didn't automatically put a semicolon between the third and fourth variables, so it failed because it ran those two email addresses together and then it gives me pretty good information in this message. Letting me know what the what the actual error was, and you can see right here. It's got identity management and then com immediately follows with system access. So I looked at that and was able to see. Oh, I need a semicolon.

That was a really easy fix, so it didn't take me long to figure out how to fix this and keep it from failing again, and so I had actually planned for 10 minutes thinking that we'd run over because chris kent usually goes long.

So just a few questions related on this and how? How long did it actually take you to figure out the and build the whole process in the power automate.

um Gosh, it was over a couple of weeks and I built I ended up, building a really long test plan. I was looking to see if I can find it here meant to bring it up earlier. There we go so you can see. I like tried to account for all of the different scenarios you can see by the time.

I started this what I called the last round of testing, I start with number 21 and I actually got down to number 100, so I basically ended up doing 80 tests and then these ended up all being the same as something I'd already tested. So that's why they're not green the gray indicated where there should not be any results, and I think the yellow was something that I ended up not using, but I'm just letting me know that hey.

I should be looking for results here, yeah, so I actually tracked each one so that I could go back and see. Oh what you know, why did it fail or error messages.

That's actually a good good suggestion from luis for power. Automate should actually give this kind of a baseline excel file. This is awesome by the way. There is a just an example on how you're doing testing and how to validate that the workflow is moving, because that wasn't a simple workflow, so really making sure that everything is moving, because this one was used by your company for business processes right. So it really is.

Yeah yeah but how's your feeling related on power automate from a let's say it wasn't a super super easy to do, but then relatively cost efficient or what's your take on on using that kind of a tooling for making these business processes.

I love power automate, even if sharepoint designer wasn't, you know done with it and I know we're not using sharepoint online, but I want to get there and I also wanted to show the power of power automate to the company, especially since they're paying for my license, so I'm 100 in favor of power automate.

I actually um like it more than I like power apps, but I also like automating things more than just making pretty things um so yeah. This is. This was very exciting for me, even though it took forever and they have changes now.

Yeah and and the last question to start of course, did you do any kind of a return of an investment calculation related on this on on kind of? If we do it in this way versus, if we do it in other ways,.

No, I'm not sure that there was any other way to do it.

Of course, you could always write something completely custom, but then it's completely custom right, but.

I'm also not a developer, I don't write code and sure you see that there's absolutely no code in this.

Yeah yeah absolutely, but getting some developer involved and then paying for that one would cost x amount of money, and all of that, so that's that's kind of empowering the the end users and empowering more it's and and let's say, power users like you teresa on on being successful, and that is absolutely why the power platform is so cool now, so normal users can be super efficient on it cool.
