With the community, this is the Microsoft 365 and Power Platform development, bi-weekly call it is the end of April April 27th. We are so excited for what we have in store for you on this call. Let's take a look at the agenda. We're gonna get all kinds of updates on the community: around.net libraries, Powershell, yo teams, teams, toolkit graph, toolkit publisher, connectors and we're going to see a bunch on Sample script, samples, team samples, Power Platform samples, all the samples we got them. You want them.

We know it picture time with together mode with vesa, so we're looking forward to all those fantastic faces and then we're going to see two amazing All-Stars of the day, Kevin dibb on group voicemail app using SharePoint teams, power, automate and power apps. Oh it's gonna be awesome and then Tobias is going to show us task management and time boxing within Microsoft ecosystem driven by a power automate flow love. We got lots of them. Power Platform and Microsoft 365 Community videos, LinkedIn groups for discussions. We have open source initiatives like pnpjs and CLI for Microsoft 365.. As I mentioned, we got all kinds of sample galleries that bubble up to the adoption.microsoft.com site. In fact, as well all these sites all these URLs. You only need to remember all of them. Thank you David. Well, we know that it can be really scary to get started in the open source. Community I remember the first time I had to do a GitHub pull request. I I thought I was going to destroy the repository, but it turns out it's not that scary sharing and scaring is uh designed to give you sessions where you can get Hands-On. You can actually do your first pull requests. You can write for the web.

You can set up your spfx developer, workstation and various other sessions that teach you how to get started in the community and it's Hands-On. It's safe. It's never recorded and we are looking for volunteers to help us actually run more sessions because, let's face it, we haven't been able to do as many sessions as we wanted to, but we promise we're doing more sessions soon. Please reach out. Aka.Ms sharing is caring, pretend I said the dash is in between and then once you have contributed to the community.

We want to recognize the work that you did with our community recognition program, so we will give you badges that will uh showcase your contributions. It's powered by Craig Lee, the same company that does the certification, and uh you know the cool thing about that is all you need to do. Thank you David. In the net world, we have uh some updates for both framework across the gate. On the framework side, uh Paul balak did improvements and documentation, so they're still work there to do and Paul is leading that effort. So if, if someone wants to really help with the writing, documentation for PNP framework uh feel free to do a work with Paul and then uh help help out there.

um Next uh Miguel Angel, Garcia, Martinez long name, uh there's some updates in the code that Provisions um pages, so uh edit updates to provision correctly provision website, wrap up descriptions uh uh when you uh create a page using a provisioning template across the gay Side Christian did enable uh for staying in the pages team. uh Christian that enabled empty text parts to be added to a page and Miguel did a lot of work.

Actually, three PRS around the collapsible section, so kind of smaller improvements, but really useful and needed improvements to uh make this story just much better. Then we also have some other things like. uh You can now add a remove columns from a view or reorder columns in a view we didn't edit yet and we are working on ck5 support. Now you might wonder about the ck5.

Ck5 is the editor component on Modern pages, so today fck4, but we're switching to ck5 in the future and we're already prepping uh for the change so that you as customers of PNP, are not impacted and the evidence. Then, let's move to Powershell. Thank you all.

Thanks thanks David uh good to be back in this time zone so about PNP Powershell, it's a Powershell library that you can use to communicate against Microsoft 365 services like SharePoint teams, Azure ID, planner, Power, Platform, and so much more so, what's more of what's new in the latest nightly builds, uh so we added a new commandlet, get PNP large list operation status uh to retrieve the status of the removal of a large list.

uh We also improved the ad PNP Azure ID group member and add in page already group owner command list so that you can support so that we can support nested security groups and we also improved the get PNP site collection, app catalog, so that you can, you know, retrieve those site collection, app, catalogs, a bit more faster. If you specify this skip, URL validation parameter um yep, uh that's uh yeah! If you have anything on your mind, feel free to reach out to us on the discussion forums as well as on the GitHub issue list.

Hey David, hey everyone, so uh this week with a few uh spiking downloads but yeah we have no idea what's going on, but probably somebody's using it a lot. Maybe some automation too probably um I mean thanks to Abby. We did a we're preparing v a 4.2 and we already did a pull request for some validating and HTML files and we're also looking for contributors. If you want to excel to extend the otips um we'll still uh in preview with the latest version, the other version is still it's normal, of course.

uh So if you have some time test out the preview version and then of course, I think Esther fun is also getting getting ready to see if we can do a visual studio code extension, but that's something more for the future over to the team still get with John I guess.

Thanks uh so this week, basically a little bit of a repeat of last week, so last we talked about. We have a new uh release. Well, that's available now! So just a reminder. What's in that, uh you can use Dev tunnels, which is the integrated kind of remote tunneling for debugging, your Bots and message extensions. So we support that now. Validation is a little better um help. You catch some publishing errors ahead of time. We have autocomplete, so some quality of life stuff.

We have some new samples that can launch directly in code spaces, so you don't even need to download or install anything, just click a button right from the docs, and so it must be of X improvements. So we've automated being able to add web Parts uh being able to debug spfx apps that you're building for teams- and we have some new actions for running uh any type of script.

You want to do right inside of the teams.pmo file, so you can automate whatever you want as part of your pipeline with teams apps and um some open opportunities here, looking to learn more from.net developers that want to build team chat. So I put a little plug down here. Can I use that akms link, ttk hyphen chat to schedule a meeting directly with me and we'll just have a casual chat and help us learn. So we can build the right products for you. Thanks.

So a couple of things happening on the graphical side. First, we ship our 2.10, we're gonna have a 2.10.1 happening uh later today, with some accessibility improvements, uh we're really really listening to our community. You can see all the issues Our Community Driven at the at this point. It's really cool to see how people are also excited about accessibility and making it even better for your own users. So I definitely appreciate that.

um We also have a v 3.0 preview that it was out last month, we're coming next week with a preview two that will bring all of our components to the new fluent UI and capabilities um wanted to highlight some really cool uh facts here. um First, there's some really really good usage people have started to use the preview to uh improve their app, so that's really cool.

We even had some new components that have been submitted based on the preview, so um want to do a small high to a noob that created a a new MGT, taxonomy or term store capability as part of of the graph toolkit so very, very exciting. When new community members come in and create new components that will read whatever some really really cool use cases, so the preview is what will be the next big version of mjt, and you should expect a general availability in the next few weeks.

um You can always try our next package to see. What's coming up, uh you can use npm to install our next package and we need your help, bring the bugs bring the feedback, bring the ideas back.

To you David awesome, thank you, Seb all right next up is script samples uh Paul's, not here so I'll cover this 186 scenarios 249 scripts. By far this is one of the easiest ways to start contributing to the community. Thank you for all of our contributors, Dennis Rashmi, Ganesh, so much great stuff reach out to Paul. Definitely this is an easy way to share all the information that you're creating in those uh utilities and samples and scripts.

Super super easy, so definitely get involved, he's great uh maintainer of these and would love to help you get more involved in contributing and we would love to see all the amazing stuff and you get a badge for it. So definitely take advantage all right and next up is Microsoft team samples with Bob German who's. Not here, so we are going to cover that uh another file converter from Marcus Moller. You can take a look at all the team samples that are available, AK dot, Ms, slash teams, Dash samples, uh definitely reach out.

Well, folks, you know how they say: don't take candies from strangers. uh The same applies to samples from strangers right. You should probably should not download samples randomly from the internet and just install them in your environment, and that's why we created the Power Platform sample repositories in GitHub, so you can find samples for powerapps templates components, connectors power, automate power, virtual agent power, bi power effects and very soon power Pages. We are currently in the process of actually moving.

We had a whole bunch of repositories, we're combining them into a single repository to make it easy for contributors to contribute to samples and for people to find samples so join us at aka.ms, Power, Platform samples go find some cool samples and I hope to see your samples there soon back to you, David.

Okay, two seconds.

I

Okay, a brief history on me: I started in the 1990 as a computer salesman. This was back when there were uh computer stores around towns, uh besides Best Buy um and then in 95. It started at Dupont as a server and network administrator and then in 2015, Dupont, spun off to uh commores and I've been a server administrator there and I'm on the AI team.

I

There now as well and of course, I did a little bit of Power Platform stuff on this side um and then also in 2001 I got married and my wife started a Pediatric, Therapy business and so, of course, I was by default. The ITI there. You know everything from computers to the website. To you know: power, apps and stuff, like that um I split, my time between Fayetteville and um I'm, holding Beach so I'm at the beach. A lot I'm.

Actually here now, I'm married with two kids and three dogs got three dogs there and a pitcher there, they're so cute. My hobbies are kayaking flying drones uh to the beach and power-ups and yeah I play Powerhouse is a hobby because I I really do enjoy it. You know a lot of times. You know I'll just spend my nights watching YouTube videos of like Shane and Reza and Dana Christian, and all those guys and a lot of other ones too, um but yeah. So that's about me.

um So the the app I'm presenting is a team's voicemail solution. If you guys have a business that that doesn't have the team's voice, you guys should think about doing that, because it's really cool is basically like a virtual PBX.

I

um If you guys ever worked at a large business, they had like a real PBX, that's like the size of every uh refrigerator and it's got cables and wires and all the stuff going to you know like telephones, um it's been a long time since I've actually used a real telephone team's voice at Therapy Playground.

I

We use it for patients calling in for scheduling, kids or checking on the status of their pills or whatever, and it goes to a team's voice, auto attendant and and we have four locations and uh so that that Rings all four locations. At the same time, we have humans in all four locations that can pick up the phone but like if they don't pick up the phone, because maybe the patient called like like at night or a weekend or during lunch or a busy time, and then it goes to voicemail right.

I

um So when it goes to voicemail, that's that's what a problem is because uh the default way that uh Microsoft uh team's voice does it is when you get a voicemail um or sends an email to a group of people um that would normally answer the phone and they all get the email. That shows the message which is great and all, but when it comes to returning the call uh person a doesn't know if person B have you turned the call or person, C or or D or E I, don't know either.

So, of course it becomes a big mess trying to figure out if this column is returned or not. What the status of the call is um and and the first way that we can't handle that was um we had a teams, chat Channel where, like Sally would say Hey you know, I called back. This number is dealt with and then you know Susie would say: okay thanks.

I

um You know I'm calling back the next number blah blah blah, but it is just a mess. You know, um if you guys deal with uh clients, you have of this type of situation with a group. Voicemail is a big mess, so what I did um yeah yeah? This is what I just said there: okay, um okay, so the solution was I made a power app and, of course, um these phone numbers are fake numbers. I put random number generators here, so they don't.

um These numbers are fake and of course, these names are fake, too I just changed names so to protect the innocent, and then, of course the transcription is fake here as well.

I

But this is the uh uh screen here that that our uh of office staff C and it shows the number of voicemails and um so I'll do a live demo of that here in a second um and then, when they click into it, uh they can change the status of it. You know if they return the call or if it's important confirmation whatever and then they hit save, and then it takes it off. The new voicemail list- okay um and oh, this is the flow.

I

So when a new email arrives um it it checks if it's got a certain subject and the from thing um and picks up if it's a voicemail email and they trace it into a SharePoint list. And then this was the hard part and I had a co-worker um Akash. Actually uh give me a hand with this part here, because I can't figure out how to get the MP3 into the app itself so that uh the staff code should play the voicemail from the app.

um So this this little piece here was a big help here. So thank you, Akash I think he's on the call now so thumbs up to you um and- and this is the uh SharePoint list here- um I mean it's a real basic list here, and it has the attachment, of course, um and then once you uh check the voicemail um yeah, and so let me actually go and show the app itself. So let me let me come over here. Okay, um this is a message here.

I called uh a few minutes ago, just to test it. You know just to show you guys here. So this shows that there's a new voicemail here and so the office after would click on it, and so they can hit play here. Hey. This is Kevin I'm, calling as a test for the community community call, so just seeing how this works all right, bye, okay, so um team's voice does uh transcribe the message pretty good.

Sometimes it gets a little bit jumbled. um So so the play button is here, of course, so that oh they can actually play it and hear what they they said. You know if, if that's not clear and if they want to send this message to somebody else in the company, then they can click on that and then they can um like that's my wife there. So uh I'm gonna hit the send button. There.

That's actually sensor this message with the attachment okay, so she can get it if something needs to go to a particular person and then, uh when I finish listening to the call here, I come here, I just say like you know: I returned a call left of a voicemail and hit uh save, and then it goes back here and it clears out the log there. So that's what that does there and it and it it really makes um keeping track of the uh the calls like much easier. This is the flow here.

um I'll show you the screenshot this earlier, but basically it is. It uh checks for the subject of sharing voicemail versus the the subject that we have and then it creates. The item goes into the um SharePoint lists, and then this is actually what attaches the content bytes uh for the MP3 file, and um so that's that's. Basically what that does- and this is often say if they keep this this page up. You know it you have to Tab and then uh the page does refresh itself throughout the day, also but big.

Originally they can click on that to uh refresh, but it also, if there's more than two voicemails pending, that it does send a little message to the team's chat group. Saying: hey, there's a voice messages to be checked. So that's basically my demo David. If you want to say anything else, but that's basically what it is.

Yeah, absolutely by the way, Kevin amazing stuff, really really great thanks for sharing and um yeah. That's perfect. So what I want to talk about today? Task management and time boxing within the Microsoft ecosystem, but first of all who am I um on the business side, I'm a managing partner at 4ps in Germany, um we create a cloud-based Erp system for the construction industry on the community community side, I'm, an MVP for Azure and business applications, a regional director and a Docker captain. And if you like what you're seeing today, um you can follow.

My socials reach out to me happy to have any kind of discussion, find my blog or find my find my podcast and um I'm also married with two kids, but now uh yeah. Let's, let's jump into the the actual topic, which is task, management and I first want to share with you why I did what I did and what I, what I'll share with you um I'm, really a big fan of doing task management in the Microsoft ecosystem, so mainly planner, and to do that works really well.

For me to do for my own stuff planner for things that we do as a company as a team um just in one-on-ones or whatever it just helps me to stay, organized I'm, really afraid of forgetting something and bad memory, but once I started using the the tasks management, stuff I was sure that yeah I would basically never lose a task again and that's uh for my personal ease of her mind. That's that's really important, but what's less good, actually is the integration with calendar and with time boxing so uh for to do it's?

Okay, but you have to do it manually. There is an Outlook this um this view where you can drag and drop your tasks, but not great in my opinion and for planner there actually is no integration at all. So um yeah I I decided that if I want to do time boxing, if I want to have my tasks in my calendar, I needed to do something um for that on my own.

But again, the question is why why would I even do the calendar integration in the time boxing and for me it's basically two issues that I had one was when to do what um and for that. What I personally do is I plan.

My weekend advice once typically Friday afternoon, sometimes even on the weekend, I try to roughly map out what things I want to do on which day and then I hit um the the flow that I will show you in a second with a manual trigger, and that puts calendar entries in my week for the different tasks again in planner and in to do that. I might have so that I can then plan them. But of course, it's a plan. So what that means is that, basically, somewhere during Monday, it goes off the rails.

So I am ability changing my my plan, the tasks the assignments during the week and for that I also have as an automated trigger running the same flow, but basically not for the full week, but just for the day ahead, so that it updates the tasks that I have in my agenda for the next day.

um The other thing that is also solves for me is how much time I spend on which task, because before doing this, before putting my tasks in my calendar, I typically had two problems: either I planned way too many tasks, so I had basically I, don't know. Maybe two hours left open on the day and I planned like five tasks. Surprise after the third task, the two hours were already gone and I I always couldn't finish the things that I had planned and then sometimes I had basically the opposite thing.

Where I had a full day left open, I decided I'll do those three very important tasks started with the first one um enthusiastic, because I had all that time and then I spent like six hours on the first task and again I I, couldn't finish anything so I wanted to time box, which means, and that I'm sure I have an idea. I want to spend two hours on this task one hour on that task, and then maybe four hours on that one.

So so I have an idea when I'm running out of time or how much time I will need for for other things. So that is basically the reason why I did um what I did and I want now. I want to show you what it looks like in the end. Of course, this is a a demo calendar, but it it shows basically what happens after the automated flow has run. So this would be me having planned a couple of to-do's a couple of Planet tasks for the full week.

It would put them in the calendar, as you can see, always at six o'clock, because I never ever would plan a regular meeting at six o'clock. So that means that if I have a meeting there I know this is coming from um from my flow that has put it there. You can also see it has that little icon um in the beginning. That also is a sign for me.

Yes, this is actually planned and, if you're a Outlook user, you will recognize that by the by the coloring and the the transparent coloring that those to Do's don't block time in my calendar. So that means that if colleagues want to spend time with me, someone wants to um take a look at my calendar. Those Studios typically don't block the time. They're just my reminder that I want to do something there, but if someone else wants a a meeting or grab some time, it doesn't show up as blocked in that area.

So what I then do when I have that I I basically go in and move the tasks and the to-do's into the days and give them the time span that I want to have so that I end up with something like this. Maybe you've noticed if I go back here. I have nothing planned on Friday, but four on Thursday, where this Workshop happens. So you can see, of course, I'm also dragging things along days.

Now that I see what the actual plan will look like, but that gives me an idea of um whether the things that I have planned, the things that I have do during that week will actually have a chance of happening and I I have enough time to to do that. So that's basically the idea. Now. How is it built in in automate?

The basic idea is that I take a look at the calendar and I give as a parameter to the flow, and we will see that in a second the start and the end date and the flag whether I want to clean up everything, because maybe I messed up, my cost planning I want to start from scratch again, so I also have a flag that would basically first remove all the task entries that I have for that week in the calendar. Of course, the tasks themselves would stay, but just the calendar entries um would be removed.

If that cleanup um flag is, is positive and then I basically iterate over all my planner tasks over all my to-do's and then, um if the calendar entry doesn't yet exist. For that date, it's it's created and that's more or less all there is. There are a couple of little wrinkles I'll show you that when we go through the actual flow now this is all handled in the manual flow.

So that's basically what I trigger manually to create everything for a full week, but I also have an outer scheduled flow that runs every day, calls the inner flow um I. Do it at 6 PM for the next day, because hopefully I'm done working at that time, and it just calls the inner flow, creates the tasks for the next day and make sure that my task list and my calendar are in sync again and then in the morning, when I start working I can see. Oh there's actually an entry six o'clock in the morning.

That means that something has been added by me or someone else assigned me a task and now I need to figure out whether I can fit that in my day or not. So that's basically and the whole idea. Why I did it? How I did it now? Let's take a look at the actual flow first, the probably less interesting one, which is the outer flow- that one is easy.

It just has a recurrence every day at six o'clock, every workday or every day, I'm, not even sure, a start date an end date, and then it runs. My manual flow with those two parameters- and you can see here- I- don't delete the existing calendar entries by default because typically there is nothing anyway. When I run it manually, then we have the more interesting part, which is the inner flow there.

You can see that I'm first grabbing the default calendar ID by making a call to me calendar in the graph API, because if I have multiple calendars, I I can't figure out which one to put the tasks into so I'm, just getting the default. One. Storing that then I'm getting all events with a specific category. That's also um something I did to figure out. Is this a task um calendar entry, or is this a regular calendar entry?

It has a specific category and by that I can basically get all the events with that ID and if we take a closer look here, also with the filter, query taking the start date time and the end date time into account and taking a look at to at the right category to find out which ones it should get and then I'm checking whether the calendar events should be deleted and that's the other one that I mentioned before.

If yes, then I just go through all events with a category and delete them, and if no, then we will remember the subjects and I'll show you in a second. Why that why? That is the case? And then we have two things that are happening in parallel. One is to go through all the to-do's. The other one is to go through all the planner tasks.

Let's take the to do side because that's actually the more complex ones, because with planner I just make one request: I get all tasks and on a to-do side, I have to go through all my lists and collect the tasks from there, so that that makes it a bit more interesting here. I'm taking all the lists, then I'm iterating over all the lists and then I can take a look at the list to get my actual to Do's. So on planner, that's just one step on to do. That's that's actually, two steps.

So now we are iterating over all the tasks. First of all, I'm checking whether the due date is set, because only if I have a due date, then I can put it into my calendar. I need to figure out whether the event exists or not.

Yet that's why, in the beginning, we stored all the subjects of the different tasks, because if it has already been created through the weekly run or for whatever reason and now my daily task kicks in I, don't want to create, duplicates so I'm, basically remembering what is already there as a task and then, um if it's, if it's not already created, then I'll create it. But if it's already there, then this, if condition, will fail and also for um tasks that already have been completed. Of course, I'll skip those as well.

So if something of this fails then I'll do nothing. If, yes, then I had to do a time zone conversion, something that I also found out the hard way that this happens, because then you sometimes go in a different day and that's obviously not what I wanted I'll check, whether I have the due date in the in the requested range. If not, then I'll also do nothing. If it is in the requested range, then I'll just create a calendar event. Here you can see the calendar ID of the default calendar that I've used.

We have the subject here, and this is where I put the little icon in the front of the subject. We have the start date and the end date and in the advanced options you can also see here that I'm creating a URL for the actual task. So if I open the calendar, entry also have a direct link into my task planner, or to do so that I can immediately find out more about the about the actual task and then the last one.

That's maybe a bit interesting is that there is no option to set a category on the on the calendar. Entry itself so after it has been created and the ID of the in event has been returned. I need to go back in here and say that it is actually off the task category.

So that's that's the only way that I found how I can set um category for a calendar entry and that's basically it in the end, maybe also a little wrinkle- that's interesting, because it was a I'm using it as a child flow I have to respond to a power app in the end. That's the only way how I could make it work on the scheduled side, but then it would always fail on the manual side.

So I put it on a scope here and in the end, I just did something that never fails, which is setting a calendar. The calendar ID variable doesn't make sense, but it just is something to do so on the manual side it works and on the automated side it works as well.

Okay, the last thing I wanted to show you is if I go back out here. So here we go. That's the interesting thing. I found out the schedule. Task is basically done in 33 seconds as you can see here. But if we take a look at the same thing in the manual task, then you can see that the manual tasks are slightly slower because it takes a bit longer for the schedule to happen, but sometimes it also appears as if the schedule thing would be longer. So there seems to be some some timing difference here.
