From YouTube: Group voicemail app using SharePoint, Microsoft Teams, Power Automate & Power Apps

Description

In this 9-minute developer-focused demo, Kevin Dibb introduces viewers to the Therapy Playground Voicemail (Power) App that extends Teams (Voice) auto attendant (captures and transcribes messages) by displaying both the mp3 and transcription of message in app. The app tracks responses - who/time/action. This tracking closes the issue/response loop by centralizing and driving response actions. Actions include direct response to customer, forward to another team member. Power Automate flow executes message movement.

As a computer salesman, this was back when there were computer stores around towns, uh besides Best Buy um and then in 95. It started at Dupont as a server and network administrator and then in 2015, Dupont, spun off to uh commores and I've been a server administrator there and I'm on the AI team. There now as well and of course, I did a little bit of Power Platform stuff on the side um and then also in 2001 I got married and my wife started a Pediatric, Therapy business and so of course, I was by default.

The ITI there. You know everything from computers to the website. To you know: power, apps and stuff, like that um I split my time between Fayetteville and um I'm, holding Beach some at the beach a lot I'm. Actually here now, I'm married with two kids and three dogs got three dogs there and a pitcher there, they're so cute. My hobbies are kayaking flying drones uh to the beach and power-ups and yeah I play Powerhouse is a hobby because I I really do enjoy it. You know a lot of times. You know.

I'll just spend my nights watching YouTube videos of like Shane and Reza and Dana Christian, and all those guys and a lot of other ones too, um but yeah. So that's about me, um so the the app I'm presenting is a team's voicemail solution.

If you guys have a business that that doesn't have the team's voice, you guys should think about doing that because it's really cool. It's basically like a virtual PBX.

um If you guys ever worked at a large business, they had like a real PBX. That's like the size of a river uh refrigerator and it's got cables and wires and all the stuff going to you know like telephones, um it's been a long time since I've actually used a real telephone team's voice at Therapy Playground. We use it for patients calling in for scheduling, kids or checking on the status of their pills or whatever, and it goes to a team.

Auto attendant and and we have four locations, and uh so that that Rings all four locations at the same time, we have humans in all four locations that can pick up the phone but like if they don't pick up the phone, because maybe the patient called like like at night or a weekend or during lunch or a busy time, and then it goes to voicemail right.

um So when it goes to voicemail, that's that's what a problem is because uh the default way that uh Microsoft uh team's voice does it is when you get a voicemail, um it sends an email to a group of people um that would normally answer the phone and they all get the email. That shows the message which is great and all, but when it comes to returning the call uh person a doesn't know if person B have you turned the call or person, C or or D or E I, don't know either.

So, of course, it becomes a big mess trying to figure out if this call was returned or not. What the status of the call is um and and the first way that we can't handle that was um we had a teams, chat Channel where, like Sally would say Hey you know, I called back. This number is dealt with and then you know Susie would say: okay thanks.

um You know I'm calling back the next number blah blah blah, but it is just a mess. You know, um if you guys deal with uh clients, you have of this type of situation with a group. Voicemail is a big mess, so what I did um yeah yeah? This is what I just said there: okay, um okay, so the solution was I made a power wrap and, of course, um these phone numbers are fake numbers. I put random number generators here, so they don't.

um These numbers are fake and of course, these names are fake, too I just changed names so to protect the innocent, and then, of course the transcription is fake here as well.

But this is the uh uh screen here that that our uh office staff C and it shows the number of voicemails and um so I'll do a live demo of that here in a second um and then, when they click into it, uh they can change the status of it. You know if they return the call or if it's important confirmation whatever and then they hit save, and then it takes it off the new voicemail list. Okay um and oh, this is the flow.

So when a new email arise um it it checks if it's got a certain subject and the from thing um and picks up if it's a voicemail email and they crease it into a SharePoint list. And then this was the hard part and I had a co-worker Akash. Actually uh give me a hand with this part here, because I can't figure out how to get the MP3 into the app itself so that uh the staff guy should play the voicemail from the app.

um So this this little piece here was a big help here. So, thank you, Akash I think he's on the call now so thumbs up to you um and- and this is the uh SharePoint list here- um I mean it's a real basic list here and it has the attachment, of course, um and and then once you uh check the voicemail um yeah and so let me actually go and show the app itself. So let me let me come over here.

Okay, um this is the message here: I called uh a few minutes ago just to test it. You know just to show you guys here. So this shows that there's a new voicemail here and so the office after would click on it, and so they can hit play here. Hey. This is Kevin I'm, calling as a test for the community community call, so just seeing how this works all right, bye, okay, so um team's voice does uh transcribe the message pretty good.

Sometimes it gets a little bit jumbled um so so play button is here of course, so that oh they can actually play it and to hear what they said. You know if, if that's not clear and if they want to send this message to somebody else in the company, then they can click on that and then they can, um like that's my wife there, so uh I'm gonna hit the send button.

There I actually just answer this message with the attachment okay, so she can get it if something needs to go to a particular person and then, uh when I finish listening to the call here, I come here, I just say: like you know: I returned a call left to the voicemail and hit uh save, and then it goes back here and it clears out the log there. So that's what that does there and it and it it really makes um keeping track of the uh the calls like much easier. This is the flow here.

um I'm gonna show the screenshot this earlier, but basically it is it uh checks for the subject of shared voicemail versus the subject that we have and then it creates. The item goes into the um SharePoint lists, and then this is actually what attaches the content bytes uh for the MP3 file, and um so that's that's. Basically, what that does- and this is often say if they keep this this page up- you know it- you have to Tab and then uh the page does refresh itself throughout the day, also but big.

Originally they can click on that to uh refresh, but it also, if there's more than two voicemails pending, that it does send a little message to the team's chat group. Saying: hey, there's a voice messages to be checked. So that's basically my demo David. If you want to say anything else, but that's basically what it is.

You got the crowd, you got the crowd coming in cheering you on and we all get to see new ways and uh that the technology can be used together uh in in a variety of use, cases uh in ways we never thought possible, so uh Kevin excellent job. We really really appreciate you spending some time today to show us that.
