Hello welcome everyone to the acquisition special interest group meeting for may 18th. 2021. uh rhonda has a conflict today, so she won't be hosting us, um but she's really glad you're all here. So I'm hoping there are a few people here with uh topics to talk about a few agenda items or questions that we could chat through. Otherwise this will be a very short meeting, which is also fine.

So does anyone have any acquisitions typed questions uh for the group, so we can troubleshoot together. I have some edi.

Questions so we're not edi yet and the last meeting, maybe the last two meetings. We were demoed how edi works and how it differs from the manual way.

So I'm assuming that when you set up edi there's lots of testing.

So can you continue to order the way you've normally ordered just the sort of manual way and like test out edi like on one account or you know so like? Can there be a combination or when you pull the trigger to go to edi? Is it like you're, all edi and you're scrambling to figure out that it's working or not, working or whatever.

No, at least that hasn't been my support experience, but I'd like to hear from other librarians first and then I can talk about it from say, like sitting in the bywater support chair. If you want.

Hi, this is victoria here in el altona, when we switched to edi you're right. We had one uh one account and what you do is you test um cards. We did books first, we also have edi invoicing, which was another part of it, because you can have edi, but not the electronic invoicing. At the same time, I believe, but we did it was. It was a and we started our vendor is baker and taylor, and we were the very we were the very first ones uh to do edi with baker and taylor.

So that took some time- um and you know it was trial and error going back and forth with um our it manager and uh coma and baker and taylor um technical support and so yeah it wasn't. It took some time, you know I just I would just send it. You know like a card with a couple of items, um single items, multiple items, just to see how that would uh transpired, and uh so eventually, once you know, we knew that everything was working and I started sending in my orders through that.

This is mainly one um um ein. I believe it's called the uh for each account or something like that, so you would need to test all of them. You know so yeah. You can continue to order the same way through title source.

360. and how did you uh you mentioned, you had to have your I.t manager involved? um What did what was their involvement? Well.

He's the one that creates, I mean the accounts he's the one that takes care of. All of that, I'm not very technical to me was just like okay, let me just build the card and send it through, but he's the one that was talking to cohab, to buy butters okay to bakery okay. So if I can give you his information, if you want to reach out to him he's it's really cool, so he would. You know, help you with that. Okay,.

And then another question I had was um from the demos last time I think someone said well. Let me just look at my notes here. So when we create carts in baker and taylor were doing, you know just mystery in a cart or just picture books in a cart um and they're ordered on different baker and taylor funds.

But when we receive our materials from baker and taylor, we generally get combined mixed shipments. So in the box it's going to be adult fiction, nonfiction picture books whatever, and so, if you're doing edi invoicing.

Is everything gonna come combined like we're used to or does does the invoicing um follow? Just a you know, each each type is separate. um That's my question. I guess.

For us here in australia, I request that baker and taylor to invoice by po. So even if a box has four different pos, I would have let's say four different invoices um in there, because they also send the paper invoice. You get the electronic invoice as as well as the paper invoice so yeah they they invoice per appeal.

And you will be using grids and all of that right, because you that's something that you also have too.

Well- and that's, I guess that's another question because we've been with baker and taylor for years and within tidal source, there's in the administration. There's a mark profile thing. I don't know what it's called and we've gone in there and set up for each of our types of things we order.

You know I set up um different fields so that the location comes over and it will populate the correct location in quahog and I've been used to doing it myself and then at one point, um baker and somebody from baker and taylor said: oh you're, you're doing you're, not using grids but you're you're, basically doing all the grids yourself and I didn't really know that was what grids were, but so I've been used to doing that. You know I have like 20 lines of stuff in all these multiple.

um You know one for mystery, one for romance one for blah blah. um So I wasn't sure if I would maintain that or if that would go away and something baker and taylor would like use that, but they would do it, which just wasn't sure.

For us here in altona, they created well, we with bakery taylor together, created our mark profiles, but the grid templates are created in a separate location um I'm trying to um which is where you would do the like. You said the location where the fun code is. um If it's, uh let me find it in my ukraine, taylor.

Preferences is that, where you would that's.

Yeah um general premium great codes.

There's a section in there that you, you would be able to put all of that information in there and also you know in title source. If you go to the very top um right corner where it says helping training, they have really good um videos on all of these. How to create the grids he walked you through it and um you know it it's a huge help, because I watch those videos over and over again, um you know, like I said we were the very first ones, so they weren't sure what they were doing.

Okay and then um I was curious, like we've got things set up in our mark fields to order and our mark item fields to order in quahog is there does that? Do those settings need to change up because of edi, or do they generally just stay? The same.

That's when, in my case, my manager, the I.t manager, comes into place because I'm not very familiar with all of that he's the one that you know like I said. um If you send me an email or I'll, give me information. I can you know forward his um information and yeah. Michelle was right. It's in my preferences when you would uh go into the grid field and that's where you create all of that and agree.

I can I just say I was a little bit late to the meeting, so you may have said this at the beginning, but might it be an idea for victoria to give barbara the details of the person and baker and taylor that she dealt with because my experience in we don't use bakery data but with other book salaries once they've done it once for koa?

That person has the expertise and you're really just reminding them do the same as you did for victoria and I'll be sorted. Yeah.

No, no you're right yeah, I I we have all of that information and we we went with edi, I believe in 2017, or something like that. So it's been a few years for us already.

So I could put my email address in the chat, if I do that, does that mean it's like out there for everybody to see or.

And there's also the partners slack channel and barbara and victoria, I think you're, both in there so um and christopher. I think malta dean is in there too. So oh yeah.

That would be not about it. That's him! It's christopher kellmeyer, he's he's awesome, he's yeah he's very I mean I never would have done it without hansel and maker and taylor too. You know it's um in fact, when we went um live with edi at that time, it was mark buck from big fan taylor and he wanted christopher to go to the bywater skoja um conference and uh explain how all that had happened. But you know we couldn't so well. They never asked me to ask him so.

So I guess, would you suggest you know getting the edi ordering part down before you try to deal with the edi invoicing? Definitely yes, because you.

Want to make sure that you know they're speaking to each other sort of way. You know that the information it's going through uh bitcoin taylor and it's coming back to you. I mean everything. It's transmitted correctly.

And I'd suggest, if you're working with bywater or another partner or company to support acquisitions, the sooner you create a ticket or case and say this is what we want to do, and here's our target date for being live with edi ordering with baker and taylor, ingram, midwest tapes or whoever. It is the better because of that interval of. Let's do test orders.

Let's make sure that the back end processes are sending out the invoices are receiving the invoices and all that just it takes fiddling um and a few cycles of sent it look the next day. No, that didn't work, make a tweak, send it check the next one um coordinating between those three parties.

So it's good to do like one at a time and get that down.

It doesn't necessarily translate in all the settings, because all the different vendors just do things differently to you, know, add spice to life or something, um but once you get the first one done, you kind of have a feel for how long it's going to take, and you can anticipate the next ones and our partners, who are edi powerhouses, still have like one vendor for amazon or something else that does not support edi and they're still able to do the traditional or manual coha acquisitions processes to keep track of all those.

I just need to order one or two of these special things from this special vendor and have it still processed through the budgeting influence.

So um in my little demo last time we discovered that the drop down had all of the inactive funds in them. Apparently that's been fixed in the most recent patch I forgot, which number it was. So if you guys have been patched, you won't see that anymore, and I wish I had seen that bugzilla thing before I opened my mouth and derailed our.

And we're just waiting to do our 2011 um upgrades so looking forward to seeing the everything working on that.

Yeah would the group collectively be interested- and um you know in june, with the release of uh 20 00 2105., that's the right numbers, um wanna meander through the release, notes and see what patches and enhancements there are um in that release of cohort for acquisition. So we can keep an eye out for what's coming down the backboarding pipeline.

Well, at least we have an agenda item for next week's meeting weight off my mind, um barbara. Thank you very much. I see posted a bugging channel um in the chat this. This.

One is sort of acquisitions and sort of not I mean it relates to acquisitions information.

But when you're on, like the you've, searched the catalog on the staff side um and you look down below and you can see, okay, I've got you know 10 holdings and there's there's other little tabs there, but on the acquisitions tab, um there's no indication that there's any order records attached to that bib and it seems like it would be nice to be able to show. You know that, okay, for whatever you know what is it christian, hannah's, the four wins or whatever? That title is that there's so many holds on.

You know that we've ordered it four times, not the number of copies, but you know that there's this many orders attached to it, because it's it's blind uh and you you just don't even know that it's it's there. um So that's what that one is.

That's a nice little quality of life enhancement. There.

And I suspect you can swing over to the web development special interest group meeting later this week, barbara, and we can see if lucas can do it with jquery.

I've probably brought this one up before, but it's um when you're in suggestions and if you're going to filter um and you're looking for a patron name or whatever, and you go down to that filter box.

um Everything is just listed in what appears to be a completely random order, and it just would be nice if that displayed in alphabetical.

The names displayed in alphabetical order, instead of a big.

I think they did the suggestions or pending suggestions. Now is um a smart set of columns right where you can do the sorting on them or exporting, or is that come in? I feel like that's already available.

But uh all right so suggestions by an individual yeah we got suggested by on. We should.

So you can, you can do that, but if you go over to the suggestion, information on the left hand, side and you want to search in the suggested, there's a drop down suggested by they just appear in complete um random. Well, there's, probably some order, probably you know patron borrower number order or something, um but that would be nice if that was actually you know, alphabetical.

Yeah, I see that that's uh you.

Yeah, not not great user interface design. I like.

Well, we could take that as our cue and start wrapping up um since we've gone over a couple of bugs remember to vote on bugs sign up for bug solo, if you haven't already so that barbara can get all of her lovely acquisitions user interface enhancements that we like and next month um I'll chat with rhonda and see if we can do a nice overview or get a tour of the enhancements coming in 25, uh 2105, co-op version um ah and jason.

I think it's time for you to give a plug about the copa us conference.

Yes, so I put a bad link in, but there's a good link after it um that's a link to our conference page. I would encourage everybody here to submit a presentation, even if you can't come in person, we're accepting presentations virtually and pre-recorded virtually. If you want to pre-record, so um yeah submit a proposal, we need them. We want them. We would love some good acquisitions information to add to our conference and the conference. Information is continually being updated, but you can get the the general information here. um It's september 21st through the 24th.

The first two days are going to be um regular presentation, type things and then the second two days will be workshops. So if there's like workshops stuff, you want to submit that too. We'll take those if you want to work through things. So um I'd encourage you all to take a look at least.

And it is, and we are go for in person as far as we know at this point, so um it'll be hybrid as well, so you can watch online um yeah. That's the plan at this point.
